Cancellation Policy

Article 1 – Purpose

These Cancellation Terms define the conditions under which a guest may cancel or modify a reservation made through the Cap d'Agde Studio booking platform and the financial consequences of such cancellation or modification.

Article 2 – Cancellation Procedure

All cancellation requests must be submitted in writing:

by email to contact@capdagdestudio.com, or
via the contact form available on our website.

The effective cancellation date shall be the date on which the written request is received.

Article 3 – Cancellation Terms
Cancellation up to 30 days before the arrival date

Reservations cancelled at least thirty (30) days before the scheduled arrival date may be cancelled free of charge.

All amounts paid by the guest (including the deposit and, where applicable, any balance already paid) will be refunded, less any applicable payment processing fees described below.

Cancellation less than 30 days before the arrival date

If the reservation is cancelled less than thirty (30) days before the scheduled arrival date, the reservation becomes 100% non-refundable.

The total reservation amount shall remain fully due and payable, regardless of whether it has already been paid in full or in part.

Accordingly:

no refund will be made of any amount already paid, including the deposit, the balance or any other payment made in relation to the reservation;
if the balance has not yet been paid at the time of cancellation, it shall become immediately due and payable.

This policy applies regardless of the reason for cancellation, except where mandatory applicable law provides otherwise.

Refund processing fees

Where a refund is applicable, payment processing fees shall remain payable by the guest.

Applicable fees are:

Standard EEA cards: 1.5% + €0.25
Premium EEA cards: 1.9% + €0.25
UK cards: 2.5% + €0.25
International cards: 3.25% + €0.25
Currency conversion: +2%
Article 4 – Reservation Modifications
More than 30 days before arrival

Reservations may be modified free of charge, subject to availability.

Less than 30 days before arrival

Modifications remain subject to availability.

Additional charges may apply and will be communicated before confirmation.

Article 5 – No-show

If the guest fails to arrive on the scheduled arrival date without prior written cancellation, the reservation shall be considered a no-show.

The total reservation amount shall remain due and no refund shall be made.

Article 6 – Exceptional Circumstances

In exceptional circumstances, including but not limited to natural disasters, government travel restrictions, administrative closures or any other event objectively preventing the stay, the owner may, at their sole discretion:

offer alternative dates;
issue a travel credit;
grant a full or partial refund.

Nothing in this Article shall create an obligation to refund unless required by mandatory applicable law.

Article 7 – Refund Procedure

Where a refund is applicable under these Terms, it will be processed within fourteen (14) days following validation of the refund request.

Refunds will be made using the same payment method originally used for the reservation.

Article 8 – Disputes

The parties agree to seek an amicable resolution before initiating legal proceedings.

Failing such resolution, any dispute shall be submitted to the competent courts in accordance with the applicable law.

Article 9 – Acceptance

By making a reservation through Cap d'Agde Studio, the guest acknowledges having read, understood and accepted these Cancellation Terms without reservation.
